Position Summary

The Program Materials & Distribution Coordinator is a leadership role supporting smooth fulfillment of NEF’s educational programs by coordinating the assembly, inventory and shipment of printed and promotional materials. This role works under the Shipping and ESK Academy Manager and with program teams and shipping staff. The position is critical to delivering high-quality educational resources to teachers and students.

Key Responsibilities

Distribution & Coordination

  • Ownership of assembly, distribution and printing for programs in partnership with others
  • Assist with processing Materials Order Forms (MOF)
  • Track program document progress to assist timelines
  • Apply clear, consistent communication to implementation teams, employees and vendors

Warehouse, Inventory Management and Document Handling

  • Receive large shipments and organize them in the warehouse
  • Track and count inventory, including bi-annual audits
  • Assist with warehouse organization and off-site storage units
  • Finalize and print in-house production documents
  • Send final electronic documents to Program Directors
  • Assist with ordering, storing, assembling and tracking program materials
  • Request bids and order all student incentives for programs

Assembly, Shipping and Program Support

  • Assemble teacher folders and student program materials
  • Prepare and ship orders using Excel address lists, UPS Worldship, and USPS services
  • Utilize UPS Worldship and USPS services to compare prices and send materials
  • Monitor, complete and respond to requests in shipping team email inbox
  • Manage special projects (e.g. shipping of teacher giveaways, training kits, staff gifts)
  • Enter tracking numbers into the registration database

Team Support & Events

  • Master understanding of NEF program components and teams
  • Oversee relationships with program implementation teams, other employees and vendors
  • Attend NEF Staff Meetings, Summer Summit, Operations meetings and other events
  • Contribute to positive NEF culture and support of colleagues
  • Assist with other duties as assigned

Qualifications

  • High school diploma or equivalent
  • Responsible, detail-oriented, and self-motivated
  • Strong communication and problem-solving skills
  • Comfortable working on a team and balancing multiple deadlines
  • Adaptability in evolving circumstances
  • Basic math skills for inventory and order calculations
  • Proficient with computer applications including Excel, Word, Google suite, etc.
  • Reliable transportation
  • Ability to lift 50 pounds and perform physical tasks throughout the day

Physical Demands & Work Environment

Employment Status

This is a non-exempt, hourly position. Nothing in this job description constitutes a contract of employment. NEF is an at-will employer.
